Built Around Your Team

Your Process Defines the Next Step.

A restaurant order, a service inquiry, and a client-status request need different handling. We work with you to define what the assistant can complete and what belongs with your staff.

Connections may use your existing systems, an automation platform, or custom development. The selected approach and included actions are defined in your proposal.

What We Define With You

  • Trigger: Which call outcome starts the workflow.
  • Information: What the assistant needs to collect.
  • Destination: Which team or system receives the request, including the designated on-call contact.
  • Permissions: Which actions and disclosures are allowed.
  • Timing: Business hours, after-hours coverage, and agreed notification rules.
  • Exceptions: What happens when information is missing, a connection fails, or staff review is needed.

Common Questions

Team Workflows, Explained.

Can different requests go to different teams?

Yes, where included in the configured workflow. We define routing rules around your services, departments, locations, and ownership requirements.

Can you notify our on-call person after hours?

We can scope a workflow that texts the designated on-call contact with captured request details. Your coverage hours, recipients, and routing rules are configured during setup. Staff acknowledgment and dispatch confirmation are separate workflow steps.

Can we keep using our existing systems?

We begin with the systems your team uses and review the connection options for the workflow you need. Supported actions and account access are confirmed during scoping.

Can the assistant give clients a tax-return status?

Only when an approved connection, caller-verification process, and disclosure rules are configured. Without authorized access to a current status, the assistant captures a request for staff follow-up. It does not invent a status.

Can the assistant tell customers where to upload documents?

It can provide your approved submission instructions and direct customers to the designated process. Personalized links or account-specific instructions require the appropriate connection and access rules.

What happens if an automated action fails?

We define exception handling as part of the workflow, including what the customer is told and how staff receives the request when an action cannot be completed.

Are all workflows included in every package?

Your proposal identifies the included actions, connections, and notification channels. Additional systems, custom development, and third-party subscriptions are scoped separately where applicable.
