Getting set up with HeyEthan.ai is simple — and it’s designed to feel human, not “robotic.” Once you submit the Request a Setup Call form, we’ll reach out to confirm your goals, routing rules, and any scheduling or integration needs.

Step 1: Submit a Setup Request

On the Get Started page, you’ll share a few quick details:

  • Your name + company
  • Your phone number (so we can talk through your workflow)
  • Time zone + best time to reach you
  • Industry + the package you’re interested in
  • What you want HeyEthan.ai to handle (missed calls, booking, routing, lead capture, etc.)

Step 2: We Call You Within 1 Business Day

After you submit your request, one of our team members will call you within 1 business day (often sooner).

On that call, we’ll confirm:

  • Your goals (what “success” looks like for you)
  • Call flow (what HeyEthan.ai should do for common call types)
  • Routing + handoff rules (who gets what, when, and how)
  • Scheduling needs (if you want callers to book appointments)
  • Integrations (calendar now, CRM/workflows if/when you’re ready)
  • Plan fit based on your call volume and requirements

If we miss you, we’ll leave a voicemail and follow up based on the time window you selected.

Step 3: We Build Your Call Flow + Setup

Once we confirm your workflow, we’ll configure your AI receptionist based on your business rules. Typical setup includes:

  • professional greeting that matches your brand
  • Structured lead capture (name, phone, reason for calling, urgency)
  • Call routing + escalation (who gets the call or message and when)
  • Call summaries delivered to you (so nothing gets lost)
  • Optional appointment scheduling if you want booking on the call

Step 4: Test Calls + Launch

Before going live, we run test calls with you to make sure everything behaves exactly how you want it to.

We’ll validate:

  • Routing accuracy
  • Lead capture fields
  • Scheduling workflow (if enabled)
  • Message delivery to your team
  • Edge cases (after-hours, urgent calls, wrong department, etc.)

Then we launch.
