This Privacy Policy explains how Fontaine Associates LLC (“Fontaine,” “we,” “us,” “our”) collects, uses, and shares information when you visit HeyEthan.ai or use our Services.

A) Caller Notice and Consent
When HeyEthan.ai handles calls on behalf of a Customer, the Services may generate AI-created transcripts and call summaries by default as part of delivering the service. These transcripts and summaries are provided to the Customer (our client) for internal business use and may be routed to the Customer’s connected tools based on their configuration. Customers are responsible for determining and implementing any caller notice and consent requirements that apply to their business, jurisdiction, and use of transcription/summarization (and recording, if enabled). Because transcripts and summaries are generated using automated technology, they may contain errors or omissions.


B) Information you provide
When you submit forms, request a setup call, or communicate with us, we may collect:

  • Name, email, phone number
  • Company name, website URL, industry, time zone, preferred contact time
  • Notes/goals you submit
  • Billing/contact details if you become a customer

C) Call and service data (when Services are active)
Depending on your configuration, we may process:

  • Call metadata (time, duration, routing outcome)
  • Call summaries, transcripts, and message details
  • Scheduling and appointment details you choose to capture
  • Configuration details you provide (scripts, FAQs, call flows)

D) Website and device data
We may collect:

  • IP address, browser type, device identifiers
  • Pages visited and interactions on our website
  • Cookies/analytics data (if enabled)

2) How We Use Information

We use information to:

  • Respond to inquiries and schedule setup calls

4) Customer Data vs. Website Lead Data

  • If you are visiting our website and submit a form, Fontaine acts as a controller of that information for sales and onboarding purposes.

If you are a paying customer and we process caller/customer data as part of providing the Services, Fontaine may act as a service provider/processor on your behalf, depending on applicable law and your configuration.

5) Data Retention

We retain information only as long as needed to:

  • Provide Services and support
  • Maintain records for business and legal requirements
  • Resolve disputes and enforce agreements

  • Intake form submissions: 24 months
  • Call summaries/transcripts: 60 days
  • Call recordings (if enabled): 60 days

We use reasonable administrative, technical, and physical safeguards designed to protect information. No system can be guaranteed 100% secure.
